Why did I choose eLearning? Articulate Storyline's features allowed me to create an interactive, experiential scenario that simulates walking a parent through the document-gathering process.
Clerical staff in the Lake Forest Unified High School District receive minimal training to help them transition into their roles. As a result, they often rely on coworkers for guidance when unfamiliar situations arise, which disrupts workflow and reduces efficiency. This lack of structured training also increases the risk of overlooked district procedures, especially during periods of high staff turnover when institutional knowledge is lost. Furthermore, inconsistencies in data entry practices across schools arise due to the absence of standardized reference materials. These discrepancies lead to frequent data errors, requiring extensive corrections by IT staff and increasing the district’s risk of an audit by the California State Board of Education.
The Student Enrollment for Lake Forest Unified module is part of an onboarding course designed to introduce clerical staff to one of their essential job functions: enrolling students in high school. This training series helps address the abovementioned challenges by providing a readily accessible resource for new employees throughout the school year. It also allows staff to practice key skills independently, reducing reliance on coworkers for guidance. Additionally, the module offers a risk-free environment for clerical staff to engage with enrollment scenarios without the possibility of data errors involving real student information.
Recognize the documents that are necessary for student enrollment. (This is the learning objective covered in the demo)
Differentiate between adding a student on Aeries from scratch, verses copying the student from a different school site.
Locate the necessary data needed for an enrollment letter.
The lesson's first objective is to recognize the documents needed for student enrollment. Copies of blank documents utilized by the Lake Forest Unified School District were provided for the training. Then, learners were asked to complete a knowledge check that tested learners to differentiate between documents they needed to provide to parents and documents they needed to receive from parents.
In order to reinforce the material and make the experience authentic and applicable, a scenario was created with examples of real, filled-out copies of all the documents. Driver's licenses, examples of utility bills, birth certificates, and student transcripts were photoshopped and edited to help the learner gain exposure to the data-collecting process. Learners were asked to complete a scenario that mimicked the way in which the documents were distributed in correspondence with a parent.
Copies of the documents that learners would be exposed to on the job were created.
The scenario acts as the final assessment of the module. Rather than ending the lesson at what blank copies of the documents looked like, I wanted to engage the learner in a situation in which a parent would contact the clerical staff member, and how a typical interaction would play out for document collecting.
Successful completion of the scenario would indicate that the learner can identify completed documents and information that may be missing for enrollment.
